There are two types of users who can use the system: authors and end-users. Authors create the schema of the document a Word 2007 or Word 2010 plugin. Each schema can contain different types of variables and other parts of the text. Each variable and each rule is configured using a simple wizard. No special technical expertise is needed. Users enter data using a simple web interface and generate the document by clicking a single button.
The software also exposes web service interfaces that allows you to control documents generation from an external program.
Companies and organizations need to produce documents of various types. The types of these documents are in different areas: letters, contracts, newsletters, technical reports.
These documents can be divided into three large families: free texts, rigidly structured texts and flexible structured texts containing business data.
The current most widely used word processors (such as Microsoft Office Word) are able to address adequately the needs of those who write free text documents without a particular structure. The second family belong to documents like forms sheets made and again here there are popular products (such as Office InfoPath) capable of addressing the needs of many demanding users.
Commonly available products are not able to address adequately the third family of documents. These documents are equipped with an articulated structure and need to be flexible and incorporate information from users or other IT systems. One characteristic example is that of a contract (but you might also consider a technical report): a contract consists of some texts, some terms and data which may be personal data, amounts, amortization schedules, charts and other texts. These data can originate from external company sources or be already present, maybe in some other systems or databases. In most of the organizations this type of documents are prepared usually and repeatedly starting with an initial “template” and finalized with different source and data It is clear that using a normal word processor is not efficient. To improve efficiency, users can use the predefined template by using copy and paste techniques but this potentially produces documents containing differences and errors. If the document has legal value, you can’t bear these risks and it is therefore necessary to introduce an expensive and lengthy process of revision. Looking at the inadequacy of office automation products, our company in 2004 started production of a series of tools for to address this problem. These products are used by several organizations that have produced hundreds of thousands of corrected documents easily, quickly and efficiently. Some organizations have achieved a great economic benefit in adopting these solutions while others have achieved an excellent level of adherence to standards (internal or external).
